Email Management

The volume of e-mail traffic has increased considerably over the last number of years. Emails now play a large part within law practices and as such firms need to ensure that relevant steps are taken to ensure emails are stored appropriately and not lost.

One of the main email management problems we found in many legal practices was the lack of consistency in storing and archiving e-mails into a practice management system (PMS).  F/Es that tended to compose their e-mails within Outlook rarely 'dropped' these sent mails into their local PMS.  The same held true for e-mail that were received.  As a result, this led to matter data being held in a fragmented fashion across a firms network.  What we did find is that unless this integration is seamless (i.e. not dependant on multiple clicks, dragging and dropping etc.) then email storage and archiving will still remain at best sporadic.  This is where Legal Mail email management software comes in.

How Legal Mail works - Sending/Receiving an E-Mail through Outlook: 

When a user clicks the Send button or receives an e-mail in Outlook, Legal Mail automatically asks the user if he/she wishes to store this e-mail within the Practice Management System (PMS).  To store the email the user simply selects the Client/Matter code. The e-mail, in addition to any attachments, are then stored into the relevant case file instantly.  Additionally, users also have the option when storing, to tag an appointment or task reminder to this e-mail. Legal Mail users do not need to have their Practice management system open in order to store this data and instead it is all done silently in the background. Legal Mail email management software leads to greater organisation and efficiency within the law firm.

It really is as simple as that. We have found that due to our automatic prompt, users now consistently store both their incoming and outgoing mails within their PMS.
